Information for Students
Information for Judges & Volunteers
Volunteers of various degrees of interest and committment are needed. Below is a brief description of some of our committees. People of all walks of life are needed to help run the Fair. You need not be an engineer, scientist or doctor to get involved. All you need is an interest in giving back to the community and its young people. Various time committments are needed, from one day to one week to monthly involvement. These are not all the areas that assistance is needed. Please check back often for updates and email us with your interest in helping!

Awards

  • Orders ribbons, medals, certificates of merit and appreciation and plaques.
  • Prepares awards packets.
  • Prints names on certificates for students, teachers, SAB, and those who have helped (including financially).
  • Maintains an inventory of awards.
Data Processing

  • Enter information (names, grade school, advisor, lunch preference, deficiencies, category and title) for each student into the computer as the Applications for Entrance arrive.
  • Assign booth numbers.
  • Print listings in many formats:
    1. Alphabetical
    2. Alphabetical by division (junior and senior)
    3. Alphabetical by school
    4. Numerical (Booklet Run)
    5. Numerical w/o names for Professional Societies
    6. Awards (regular, special, sweepstakes, professional societies,combined)
    7. State fair listings (alphabetical and priority)
  • Assign each to the appropriate judging group.
  • Prepare judging cards.
  • Enter all awards
  • Print booth card (temporary and permanent)
  • Print end-of-table cards
  • Whatever else is needed
Historian
Keeps historical records, programs, etc. regarding the Fair.
Facilities
Traffic control and supervision are needed during key days of the Fair. This also includes the information desk.
Judging

  • Each year (around Feb. 1) each person on the judging list is notified (by email, fax or US Mail) of the upcoming fair and asked if they will judge again.
  • New judges are recruited (mostly from recommendations given by our current judges.
  • Judging teams are formed based on the number of student exhibitors in each category and division (around 75 - 80 teams).
  • Badges, certificates, and a thank you gift are prepared for each judge.
  • Coffee and donuts for the regular judges and lunches for the sweepstakes judges are arranged for.
Project Advice/Counseling
Recruits professionals to assist in advising students with solid project ideas.
Public Relations
Provides press releases to the public (radio, print and tv).
School Relations/Screening
Screens school and district fairs for GSDSEF qualified projects. Provides assistance to schools as needed.
Scientific Tours
Organizes tours to local scientific companies for student exhibitors.
Special Events
Organizes judges' continental breakfast, students and sweepstakes judges luncheon and Family Day activities.
Financial Planning
Seeks grants and donations for the Fair.
